Summary
Boone County Health Center (BCHC) is seeking a detail-oriented and organized Scanner to join our Health Information team. This position plays a vital role in maintaining the accuracy and integrity of the electronic medical record (EMR) by preparing, scanning, indexing, and quality-checking patient documentation. The ideal candidate will have strong attention to detail, excellent organizational skills, and a commitment to confidentiality and customer service.
Essential Responsibilities
- Scan and index patient care documents into the electronic medical record (EMR) accurately and efficiently.
- Retrieve documents from Boone County Medical Clinics, Boone County Hospital, and Health Information Management (HIM) for processing.
- Review documents for completeness, quality, and appropriateness prior to scanning.
- Classify and file documents into the correct patient record and EMR location using established protocols.
- Perform quality assurance reviews of scanned documents to ensure accuracy and compliance.
- Analyze incoming clinical documentation to determine eligibility for filing in the EMR.
- Process documents received through fax servers, proxy locations, and electronic document pools.
- Route documents requiring provider signatures or handwritten responses to the appropriate location in a timely manner.
- Maintain and distribute patient correspondence and ensure letters are scanned into the EMR.
- Review and quality-check archived paper medical records.
- Identify and scan missing information into patient records.
- Assist with chart destruction procedures in accordance with organizational policies and maintain accurate destruction records.
- Provide office support, including answering telephones, directing calls, and taking messages as needed.
- Perform routine maintenance and cleaning of scanning equipment.
- Assist coworkers with record location, problem-solving, and quality control activities.
- Perform additional duties as assigned.
Qualifications
Required
- High school diploma or equivalent.
- Basic computer skills and familiarity with office equipment.
- Ability to maintain confidentiality and handle sensitive patient information appropriately.
- Strong attention to detail and organizational skills.
- Excellent communication and customer service skills.
Preferred
- Previous experience in Health Information Management, document imaging, scanning, or clerical support.
- Knowledge of electronic health records (EHR/EMR) systems.
- Familiarity with medical terminology, healthcare procedures, and treatments.

Work Environment & Physical Requirements
This position is primarily performed in an office and healthcare environment and requires:
- Extended periods of sitting and computer work.
- Frequent standing, walking, carrying, and handling documents.
- Frequent keyboarding, fine motor activities, and repetitive hand movements.
- Occasional lifting of up to 20 pounds.
- Exposure to airborne communicable diseases and dust/particulate matter may occur.
Schedule
- Typical schedule: 8-hour workday
- Regular and punctual attendance required
- Occasional overtime may be required
